
Campus mail is the delivery of correspondence between campus locations defined by mail stop. It is important to keep department information up-to-date and report address changes when they occur.
Campus mail MUST be banded separately from other types of mail for collection.
The use of brown campus mail envelopes is preferred.
Campus
mail requires the following information on the material or campus
mail envelope:
Please
do not use abbreviations or initials. Incorrect
mail stop codes or no mail stop code, incomplete individual names
or departments may result in delay of delivery. Campus
mail can be placed within campus or regular mail envelopes,
or without an envelope (folded and stapled shut). It
must be sorted by mail stop with one exception: Mass student
mailings must be sorted by residence halls.
Campus mass mailing (distributions) requires the department to fill in the Distribution Approval Form with:
The mail should then be sorted by mail stop code and
department name—not individual's name.
(Please note: Distributions
using WMU employee department count requires a minimum of
one working day to process in the mail center. Department
abbreviations may slow delivery.)
Labeled
campus distributions normally require two working days to complete. If
received in the morning, Labeled campus distributions, bundled
by department, may be processed and distributed the same
day.
Campus mailings that are sorted and distributed by
count will not require addressing
or folding. This type of distribution may be used when material
is to be distributed University wide to staff members, faculty,
administrators, etc. To qualify for this service, submit a completed Distribution
Approval Form with your
mailing to the WMU Mailing Services. (Please note:
This service is available
only to officially recognized colleges, divisions, departments,
institutes, centers, offices or organizations of the University.
The exception to this rule is with approval from the appropriate
Vice President, whose responsibility governs the affected area.)
Mass campus mailings that require address labels should be banded
in departmental order. This also includes campus mail going to
the Residence Halls.
