INTER-CAMPUS
MAIL
Campus mail
is the delivery of correspondence between campus locations. This
mail MUST be banded separately from other types of mail for collection.
The use of brown Inter-Campus mail envelopes is preferred.
- Change Address
In order for
the mail center to accurately deliver the mail to right individual
and location, the department and employee should notify the mail
center and WMU Human Resources every time
an employee's campus address changes to a new department
location and new mail stop code. If you would like your payroll
check/advise sent to your new location, you must notify WMU
Payroll.
- Addressing Inter-Campus Mail
Inter-campus
mail requires the following on the material or inter-campus
mail envelope:
- the person's exact mail stop code (plus-4)
- the individual's full name (first name and last name)
- the full Department name (i.e. English, or Mechanical Engineering)
Please
do not use abbreviations or initials. Incorrect
mail stop codes or no mail stop code, incomplete individual names
or departments may result in delay of delivery. Inter-campus
mail can be placed within inter-campus or regular mail envelopes,
or without an envelope (folded and stapled shut). Inter-campus
must be sorted by mail stop with one exception: Mass student
mailings must be sorted by Dormitories.
- Mail Distribution
Inter-campus
mass mailing (distributions) requires the department to fill
in the Distribution
Approval Form with
the department's full name, the date the material needs to be
distributed, the means of distribution,
and a signature. In addition to downloading the form
from this website you
may request a distribution approval form from the mail center.
Large campus distributions should be sorted by mail stop code and
department name - not individual's name. Distributions
using WMU employee department count requires a minimum of
one working day to process in the mail center. Labeled
distribution material should be sorted by mail stop code and
the material should use the department's full name - department
abbreviations may slow delivery Labeled
distribution directly received from the department does not need
a distribution approval form. Labeled distribution directly
received from an outside source, such as a printer, requires
a completed Distribution Approval form from the department. Labeled
Campus distributions normally require two working days to complete. If
received in the morning, Labeled Campus distributions, bundled
by Department, may be processed and distributed the same
day.
- Mail-Stop
Codes
Mail
Stop codes are an essential part of the Campus Mail System. They
identify and pinpoint mail delivery to your exact location on
campus. Without them names must be physically matched to
departments to find your exact location to complete delivery. This
may cause unnecessary delays in delivery of your mail. Mail
Stop codes can be found by clicking here. If
you prefer a different format such as MS Word, MS Access, or
MS Excel simply email your request to wmupostal@wmich.edu and
you will receive a copy via email. Abbreviations
of individuals' names and/or department names are insufficient
and may cause needless delays.
NOTE
Campus mail should be separated from U.S. mail by the issuing
department. Campus mailings that are sorted and distributed by
count will not require addressing
or folding. This type of distribution may be used when material
is to be distributed University wide to staff members, faculty,
administrators, etc. To qualify for this service, submit a completed Distribution
Approval Form with your
mailing to the WMU Mailing Services. This service is available
only to officially recognized colleges, divisions, departments,
institutes, centers, offices or organizations of the University.
The exception to this rule is with approval from the appropriate
Vice President, whose responsibility governs the affected area.
Mass campus mailings that require address labels should be banded
in departmental order. This also includes campus mail going to
dormitories. |
